Position Description
The Sales Order Administrator is responsible for handling the administration involved in handling orders for the production and supply of the ExoVasc Personalised External Aortic Root Support implant.
The Administrator is a full time position and based within the Tewkesbury office of Exstent Limited and will work report to the Production Manager.
Detailed Responsibilities
- Liaises with customers and distributors to receive and process orders and patient data required for the production of the ExoVasc implant and follows-up with hospitals and distributors to ensure the timely receipt of purchase orders and the completion of case report forms.
- Liaises with couriers and handles the receipt of materials and the shipment of all Exstent products.
- Assists the production staff and the Quality Assurance and Regulatory Affairs department with the maintenance and filing of all records of production within the company.
- Assists the Technical Director with obtaining and entering clinical data into an in-house clinical registry.
- Assists the Finance Director in the placing of orders for items purchased by the company and management of in-house stock.
- Responsible for answering the telephone and directing calls to in-house staff.
- Acts as receptionist for visitors to the company.
- Provide additional support to the production team and perform manufacturing tasks as required.
- Support the management team with administrative tasks as required.
Personnel Specification
- A bright and positive personality and a willingness to provide a wide range of administrative support to several members of a small team engaged in a demanding but particularly worthwhile activity.
- Prior experience of providing administrative support would be an advantage.
- Basic secretarial skills and an ability to work with attention to detail.
- Ability to communicate effectively with customers, distributors, sub-contractors and other members of the in-house team.
- Familiarity with current Information Technology and an ability after suitable training to operate computer-based record systems.
- A willingness to work with a small team in a growing organisation and play a full part in the development of the company.
- A willingness to work in the clean suite, should the need arise.
